WayCup Monthly Bookkeeping Checklist

This checklist defines the monthly process for internally reconciling WayCup’s accounts.

📅 Monthly Close Sequence (1st - 5th of every month)

1. Download Statements: Retrieve monthly PDFs for Citibank Business, PNC, Ramp, and Stripe/HubSpot Payments.
2. Rename Files: Convert files to the standard format (e.g., Statement - YYYY-MM-DD - Citibank Checking.pdf).
3. Upload to Google Drive: Store inside 1. Finance > Bank Statements > 2026/.
4. Reconcile in QBO: Match transactions from Citi, PNC, and Ramp feeds with HubSpot revenue records.
5. Gusto Payroll Check: Reconcile Gusto W-2 draws and tax sweeps with QBO bank feeds.
